About Jade Software

Jade Software is an iconic New Zealand name in technology, helping organisations be digitally different to better engage and retain customers through cloud modernisation that combines People, Data and Software. 

They collaborate with customers to understand their business goals and the hurdles they face. With this, they help identify new insights from internal and external stakeholders to achieve these goals, and apply technology to create clever applications to close the loop.

The Challenge

Jade Software had challenges in two key areas: Shared Drive fatigue and a stand-alone Payroll system.

The HR team were managing all employee documentation in a shared drive, which was getting difficult to manage and provide others with the required access.

There was no automated way to make changes around employee information on the Payroll side, so everything was updated manually and the whole process was very time-consuming.

The Solution

Price and useability were key factors in choosing BambooHR as the HR system for Jade Software. They could have spent 10's thousands of dollars on Enterprise software but BambooHR provided exactly what they needed, with a great user interface and the ability to integrate with their Payroll system Datacom.

Outcome 1: Single Source of Truth

BambooHR became their single source of truth for all employee and payroll information. This allowed HR, people leaders and finance to securely access different types of information as required. The system also empowered employees to be able to access and update their own information and documents. Roll-out happened just before COVID-19, which was incredibly convenient for employees being able to access the system remotely and for HR to communicate with employees.  

Outcome 2: BambooHR-Datacom Integration

By implementing the BambooHR-Datacom two-way integration, the HR team reduced the need for manual and time intensive updates and communication with the Payroll team. They are able to use one system to manage leave requests, update employee information and have this information automatically sync across to Datacom Payroll. This reduced the time involved and avoided double entry of information. 

Outcome 3: Performance Management

Jade Software used BambooHR to introduce goal setting and performance assessments, something that wasn't being done prior to using BambooHR.  With the automated notifications, they loved how you could just 'set and forget' the performance cycles and know that employees and managers will get the notifications and reminders at the right time.

Outcome 4: Hiring and Onboarding

The hiring and onboarding aspect of BambooHR is working really well for Jade and they have received great feedback from new hires about their onboarding experience. It has improved their internal processes and compliance as a result of using BambooHR onboarding. Jade has found tracking the completion progress of onboarding tasks particularly helpful in getting prepared for the new hire's first day.

Outcome 5: HR Team

Overall, BambooHR has been a game-changer for the HR and Payroll team. The system allowed the HR team to better track onboarding processes, generate valuable reports and provide their employees with an easy-to-use platform to interact with throughout the employee lifecycle.
